Common IT challenges for accountancy practices

Crunch time at year-end

A slow PC, a lapsed software licence or a locked account costs most in the weeks before pay and file, when every hour is already booked.

Documents arriving from everywhere

Clients send payslips, bank statements and receipts as email attachments, phone photos and files on USB keys, so client records end up scattered and hard to control.

Payroll and payment-detail fraud

A convincing email asks to change an employee’s or supplier’s bank details just before a payroll run or payment, often from an address that looks familiar.

Staff changes and seasonal help

Trainees, seasonal staff and leavers each need access set up or removed across email, shared files and accounting apps, and steps are easily missed.

What we look after in an accountancy practice

Accounts, access and staff changes

Multi-factor sign-in, client folders open only to the people who work on them, and Microsoft 365 accounts and devices set up or removed promptly when people join, leave or change role.

Payment-fraud defences

On Gold: email security to filter phishing and spam, phishing awareness training that covers fake bank-detail requests, alerts if staff passwords appear in known data leaks, and a business password manager.

PCs and laptops ready for busy season

Monitoring, patching, antivirus, and endpoint detection and response on the devices we manage, with updates planned before your busiest weeks rather than during them.

Backup where your data lives

Both packages back up Microsoft 365 email, OneDrive and SharePoint. That doesn’t automatically cover accounting data or files saved on a server or PC, so we scope device and server backup in your proposal.

Accounting, payroll and tax software

We look after the PCs, network and accounts your accounting, payroll, tax and practice management software run on, and work with your software vendors when something needs their input.

Secure document exchange

Help setting up SharePoint or OneDrive sharing limited to named people, so fewer client documents travel back and forth as email attachments.

Protecting client data and meeting your obligations

Revenue says it doesn’t correspond with customers through traditional email or SMS, and asks people to use its secure MyEnquiries service for anything containing personal or confidential information. Ireland’s National Cyber Security Centre lists payroll diversion and supplier fraud among the common forms of business email compromise, and recommends a strict call-back check for any change of bank details.

If a breach affects client personal data, GDPR generally requires you to notify the Data Protection Commission within 72 hours, unless it’s unlikely to result in a risk to the people concerned. Your professional body and advisers can confirm what applies to your practice. On the IT side, we provide:

  • Up-to-date records of your devices, accounts, systems and suppliers
  • Access reviews when staff join, leave or change role
  • Backups, with restore tests every two weeks and records available on request
  • Supplier information about us, for your own records
  • Help with the IT questions in insurer and client security questionnaires

We’re an IT support company, not an accountancy firm or compliance adviser, and we don’t give legal, tax or regulatory advice.

How getting started works

1. Understand your business and systems

We learn how your practice works, the accounting and payroll software you use, and where client files and data are kept.

2. Review risks and priorities

We look at sign-in security, payment-fraud risks, document sharing and what your backups actually cover, and agree priorities with you.

3. Agree improvements and ongoing support

You get a written proposal: the improvements we recommend, the right package for each person, and any setup work quoted upfront.

4. Keep security and future needs under review

We plan updates and changes around your busy periods, and review your security as your staff, clients and software change.

Accountancy and bookkeeping IT support: your questions answered

No. Microsoft 365 licences are charged separately. Gold includes Microsoft 365 admin and support, so we can manage your licences and setup for you.

Not automatically. Microsoft 365 backup covers email, OneDrive and SharePoint. Accounting data held on a server or PC, and files saved locally, need device or server backup, which we scope in your proposal. Cloud accounting providers have their own arrangements, so it’s worth checking what they keep and what you can export. We test restores every two weeks, and you can request the records.

Yes. Your vendors know their products best. We look after the PCs, network, Microsoft 365 accounts and security the software depends on, and we work with the vendor when a problem needs their input.

Plan ahead. We schedule updates before your busiest weeks and keep devices monitored and patched, so ageing or failing hardware can be dealt with in a quieter month. Our helpdesk runs Monday to Friday, 9am to 5:30pm, and after-hours emergency support is available at extra cost by mobile and email.

Where you can, avoid sending personal or financial documents as ordinary email attachments. Links limited to named people in SharePoint or OneDrive, or the client portal in your practice software, give you more control over who can open a file. It also helps to tell clients how you will, and won’t, ask them for documents.

Treat it as suspicious until it’s confirmed. The National Cyber Security Centre recommends a strict call-back check for any change of bank details, using a phone number you already hold rather than one in the email. Gold adds email security, phishing awareness training and leaked-password alerts, which reduce the risk, but a clear call-back rule matters most.
