Several people use the same front-desk computers during the day. Shared logins make it hard to know who opened what, and easy to leave records on screen.

Locums, part-time staff and students come and go. Accounts that aren’t set up and removed promptly leave patient data open to people who no longer work there.

Fake invoices aimed at practice managers

Practice managers handle supplier invoices, payroll and bank details, so they’re targeted with fake invoices and emails that appear to come from a supplier or a doctor or dentist in the practice.

Monitoring, patching, antivirus, and endpoint detection and response on the PCs and laptops we manage, plus help setting shared PCs to lock when left unattended.

Backup for practice data

Microsoft 365 backup covers email, OneDrive and SharePoint. It doesn’t cover practice software data held on a local server or PC, so we scope device and server backup in your proposal.

Working alongside your software vendors

We look after the PCs, network and accounts your practice software runs on. For the software itself, we work alongside your practice software vendor and other suppliers when something needs their input.

Network and Wi-Fi

A reliable network and Wi-Fi for reception, consulting rooms and offices, with a separate guest network for patients in the waiting room.

Protecting patient data

Health data is special category data under GDPR, so stricter rules apply to how it’s processed and protected. The Medical Council’s Guide to Professional Conduct and Ethics says doctors must ensure patient information in their control is protected against improper disclosure, access or loss. The Dental Council’s Code of Practice asks dentists to store records safely and securely back up electronic records. For GP practices, the Irish College of GPs’ data protection guideline suggests regular information security audits covering areas such as security patches, anti-virus, firewalls, data backup and access controls.

If a breach affects personal data, GDPR generally requires the practice to notify the Data Protection Commission within 72 hours, unless it’s unlikely to result in a risk to the people concerned. Your professional advisers can confirm what applies to your practice. On the IT side, we provide:

You can mix the two, with Gold for most staff and Silver for lighter users. Microsoft 365 licences are charged separately and are not included in either package.

How getting started works

1. Understand your business and systems

We learn how your practice runs, who looks after IT today, which PCs and devices are in use, and where patient and practice data is stored.

2. Review risks and priorities

We look at accounts and shared logins, reception PCs, backups, phishing risks and what happens if your systems or internet go down, and agree priorities with you.

3. Agree improvements and ongoing support

You get a written proposal: the improvements we recommend, the right package for each person, and any setup work quoted upfront.

4. Keep security and future needs under review

As staff, locums and services change, we review your security and plan PC replacements and new setups with you.

Medical and dental IT support: your questions answered

No. Microsoft 365 licences are charged separately. Gold includes Microsoft 365 admin and support, so we can manage your licences and setup for you.

We work alongside your practice software vendor. We look after the PCs, server, network and accounts the software runs on, and we work with the vendor when something needs their input. The software itself remains with your vendor.

Not if they’re held in practice software on a local server or PC. Microsoft 365 backup covers email, OneDrive and SharePoint. Device and server backup is scoped in your proposal, and your software vendor can confirm how their data should be backed up. We test restores every two weeks, and you can request the records.

Contact our helpdesk, Monday to Friday, 9am to 5:30pm. After-hours emergency support is available at an extra cost. It’s worth agreeing in advance how reception will keep going if a PC, the internet or a key system is unavailable. The HSE’s independent review of the 2021 Conti ransomware attack shares learnings for other organisations on preparing for serious incidents.

Give each person their own login rather than a shared one, with access matched to their role, and remove it as soon as they finish. The Irish College of GPs’ guideline recommends logging staff and locums who join and leave, and revoking a leaver’s access, including to backup services.

Confirm any request to change bank details or make an urgent payment by phone, using a number you already hold, before money moves. The National Cyber Security Centre’s guidance for small businesses warns about phishing and recommends multi-factor authentication. Gold adds email security, phishing awareness training and leaked-password alerts.
